Policies and Procedures:
Holiday rates may apply if event falls during a Catoosa County government observed holiday. If the Catoosa County government declares a holiday not previously announced and Client has already signed contract, Client may cancel event with no penalty.
The following setup fee includes any tables and chairs needed for your event. If no setup is required (i.e., using the conference room or any other room as is), a setup fee will not be charged.

Cleaning fees, which is at the discretion of The Colonnade, will be charged for multiple events, multiple day events requiring a new setup, and events which occur prior to or later than normal work hours. Large events will also be charged an extra cleaning fee.
ACCESS & DEPARTURE TIMES:
Client agrees access to and departure from function space shall be no earlier or later than appointed times. Room rental is for an eight hour window. Additional time may be purchased.
Should Lessee cancel the event covered under this agreement, no deposit refund shall be made and the full rental fee guaranteed as called for by this lease shall be payable to Lessor as liquidated damages, not as penalty and Lessee agrees to also reimburse expenses incurred by Lessor in connection with the event covered by this agreement.
CATERING & ALCOHOLIC BEVERAGES:
All food & alcoholic beverages must be provided by caterers who have been approved to do business at The Colonnade. It is the responsibility of the Lessee to make arrangements only with a caterer who has met the requirements for food service and/or alcoholic beverage service. Receipts must be kept on site for any food that is brought into The Colonnade. Only qualified caterers are allowed to use The Colonnade kitchen facility.
All alcoholic beverages must be purchased in the state of Georgia and the receipt of purchase must be kept on the premises during the entire event.
Security is required for all events serving alcohol and/or for 150 guests or more. Security will be arranged by The Colonnade. The number of guests will determine the number of Security Personnel needed and is at the discretion of The Colonnade. Security is required for all social events with 150 guests or more.
Lessee agrees to pay for any and all damage to any part of the building or property caused by Lessee, their representatives, or their guests. If damages cannot be repaired, Lessee is responsible for the replacement of any and/or all equipment, furnishings, and interiors.
Nothing may be hung, attached to or suspended from any part of the building without the express written consent of The Colonnade. No glitter, confetti, helium balloons or water items are allowed during any event without the express written consent of The Colonnade. Any balloons remaining after the event will be removed at the expense of the client. Smoke and fog machines are prohibited.
Lessee must have written consent by The Colonnade to connect to any Colonnade system. Lessee will be responsible for charges incurred for a qualified technician to make the connection and disconnection. The Colonnade accepts no responsibility for loss or damage to any equipment not owned and operated by The Colonnade.
The Colonnade kitchen may not be used by anyone other than employees or staff of an approved caterer. All events using the kitchen must have completed the Kitchen Check In/Out form. Caterers must be checked out at the end of an event or a cleaning fee will be incurred.
All events using the Theater should ask for the Theater Usage Form. These are guidelines established to keep all events running smoothly and safely. All technical support persons must be approved in advance of events and Lessee accepts financial responsibility for any damage or loss of Colonnade equipment as well as any fees charged by said support persons.
LESSOR’S RIGHT TO MOVE LESSEE’S SPACE:
In permitting the use of the space hereinbefore mentioned, Lessor retains the right to assign an alternate space for use by the Lessee. If Lessee does not consent to such relocation, Lessee shall be entitled to cancel this lease and receive a full refund from Lessor.
LESSOR’S RIGHT OF ENTRY:
In permitting the use of the space hereinbefore mentioned, Lessor does not relinquish and does hereby retain the right to enforce all necessary and proper rules for the management and operation of the said premises. Duly authorized representatives of the Lessor may enter any and all of the premises, at any time, on any occasion, without any restrictions whatsoever. All facilities, including the area which is the subject of this lease, and all parking areas shall be at all times under the charge and control of the Lessor.
A 10’ clearance on both sides (egress and ingress) with no physical obstruction must be maintained at all times. All exit doors must remain unlocked during all event hours.
No animals of any kind are permitted on the premises except for Trained Service Animals (for the blind or handicapped guest) without express written permission by The Colonnade.
FLAMMABLE & VOLATILE MATERIALS:
All such materials including materials under high pressure are prohibited unless approved in writing by the Staff of The Colonnade. Flammable liquids or pyrotechnics such as, but not limited to, fireworks, gasoline, bottled gas and oil are not permitted inside The Colonnade.
The parking lot may not be used for commercial exhibits, displays, promotions, etc. without the express written consent of The Colonnade. If permission is granted the Lessee must not drill, bore and/or punch any type of hole in the surface of the parking lot area and all trash must be removed. Any damage to the landscaping in and around the parking lot will be replaced at the expense of the Lessee.
All pre-event freight must be signed for by the Lessee or designated person. Lessee or designated person is responsible for sending all post event freight out of the center. Any freight remaining in the leased space which must be stored by the Lessor shall incur a storage fee of $100.00 per day. The Lessor shall not be held liable for any pre or post event freight or the loss or damage of items remaining at the facility.
It is the responsibility of the Lessee to obtain any necessary permits/permissions required for such event. This includes, but is not limited to, health permits, outdoor pyrotechnics, music licensing, building official approval, etc.
“Lessee shall indemnify, defend and hold Lessor harmless from any loss, damages, expenses, costs, fees and liability, which may be now or hereinafter incurred (whether the same be in the form of suits, actions, claims, proceedings, judgments or administrative rulings), as a result of, arising out of or caused by any negligence, acts or omissions of Lessee, its guests, invitees, employees and/or sub-contractors in connection with the use of The Colonnade as contemplated by this Agreement.”
COMPLIANCE WITH LAWS AND REGULATIONS:
Lessee will comply with all laws, ordinances and regulations adopted or established by federal, state or local governmental agencies or bodies; and by all facility rules and regulations as provided by Lessor, and Lessee will require that its agents or employees likewise so comply.
This agreement shall be construed in accordance with the laws of the state of Georgia. For purposes of any action arising under this agreement, the sole and exclusive jurisdiction shall be the Superior Court of Catoosa County, Georgia.
CONSEQUENTIAL, SPECIAL AND INDIRECT DAMAGES WAIVED:
Lessee hereby knowing, voluntarily and intentionally waives the right Lessee may have to seek or recover punitive, general, special or indirect damages from Lessor, its officers, insurers, agents or employees with respect to any and all issues presented in any action, proceeding, claim or counterclaim brought by Lessee. This provision shall inure to the benefit of Catoosa County, Georgia and its officials, employees, agents and insurers and they shall be considered as third party beneficiaries to enforce this provision.
Lessor reserves the right to require lessee to provide liability insurance deemed necessary and the amount and terms of liability insurance shall be determined by Lessor’s sole discretion. Any liability insurance required shall name Catoosa County and The Colonnade as an additional insured.
Lessee agrees to pay Lessor 100% of total room charges of the designated lease area(s).
A deposit equaling half of the total room rental will be required with the return of the signed lease and all remaining charges will be paid in full at least (14) business days prior to the event, unless prior arrangements have been made. Otherwise, the event will be cancelled.
Failure to meet departure time shall result in a fee of $100.00 per hour being charged.
